    Hello,

To all Raiser's Edge NXT users, what software do you use to track scholarship renewals?

    Thanks,

We use Award Management (formerly Academic Works), but our Financial Aid department manages it, so I have very little interaction with it.

I have not personally used Awards Management after Academic Works was acquired by Blackbaud.  However, I can tell you that at NC State implemented the Academic Works product (they were using Ellucian's Advance at the time and they still are) around seven years ago (after I left).  However, I had been the AVC when we explored the universe of scholarship management solutions at the time and was blown away by Academic Works.  I do believe NC State continues to use the platform but hopefully, Sarah Thomas can chime in.

Now, all this said, Annette, you ask about "scholarship renewals."  I am not exactly certain what you are referring to.  If you mean donors who make annual restricted gifts - not endowed scholarships - to fund a one-term or year scholarship, a combination of a good pledge reminder protocol and prospect management system should do the trick.  If, however, you are speaking about scholarship selections and distributions, that is something normally handled by Financial Aid.

Can you explain a bit more what you mean when saying "scholarship renewals?"  That may help us help you better!

Our Financial Aid office used Academic Works but only on the scholarship application side for students.   We have annual scholarship gifts that we track each year.  We ask donors annually if they want to renew their scholarship or not.  Once renewed, we do make note of the renewal date, amount owed, number of awards, donor information, etc.  We need to be able to view the list of scholarships regularly so we know who has not renewed and/or paid.

Tracking this is a simple matter of coding these donors using some common identifier - perhaps an interest or activity flag.  This flag, combined with a tag on your fund table identifying annual scholarships allows you to write a very simple query that "looks" for these annual scholarship donors and if there is a gift or pledge on their record for the current year to a scholarship fund.

I do not think you need any sort of software for this initiative.  It is really a coding and reporting effort.

I know of one organization that uses RE NXT, in a way. But, what I don't like about it is that, they had to create a constituent profile for each fund to be able to link relationships better rather than just having the scholarship in the fund table.  I'm testing that idea though.

Again, I think you can do this easier by assigning a unique code identifying "Annual Scholarships" within the fund setup.  At present, I do not have access to an RE platform so I cannot remember what fields are available in the fund setup window.  But I do know that many of my clients tag funds for various purposes - much like you have a tag for various VSE fund types.

We use Award Management. I am happy to try to answer your questions.

    Hi Jill,

Do you have the full suite of Awards Management?  Our Financial Aid office uses Awards Management but I don't think they have the stewardship part of it. With this in mind, do you think Awards Management is a good platform to use?

      Hi Annette -

We do have the full product, but my initial response is that I don't think Awards Management is the platform for you to use in this case.

Award management is more about the awarding of the scholarships. They do have a renewal setting, but it is more in regards to tracking the student's eligibility.

I think that John's suggestions are probably more on point for what you are looking for.

We are in the process of converting to NXT right now and have purchased just the stewardship side of academic works, Scholarship Management to aid my work in impact reporting.  If it goes well and we like it I may pitch to the FA office that we look at Awards Management component as well.  But currently we have a FA staff that is very comfortable with their way of awarding scholarships so I will let it lie for now and use Omatic to get the info into Scholarship Management.
