Tracking Recurring Gifts

  • 1.  Tracking Recurring Gifts

    We are a Banner Advancement school and we use Touchnet for our online giving.  We have several donors who make recurring gifts and are looking for a better way to track those. There is a report in Touchnet but it does not provide us the information we are looking for.  Does anyone have a system in place for tracking recurring they would be willing to share?  We are trying to come up with a less labor intensive way of tracking our recurring gifts.

    It would help to know what information you are looking for that's not already available in BA.  There, you have all the donor information, the dollar amounts, funds credited, etc.  TouchNet really doesn't have much else that you need (I don't think).  You certainly do not want credit card information.

    Can you let us know what's missing from these two sources?

    Our annual fund officer is wanting to know the recurring schedules.  She has been interested in knowing how many donors we have set up for recurring payments which can change daily with some being paid in full, some cancelling their set up, and some setting up new ones.

     

    She is looking for:

     

    -          Name of donor

    -          Amount of recurring gift

    -          Schedule of gift: First scheduled payment, what day of the month it is scheduled for, number of recurring gifts set up, and last scheduled payment

    -          Designation

    Isn't all of that in BA?  Or it can and should be and that is where you can run your reports.

    I do not know where it would be if it is in Banner.  I have researched it, but am unable to find it.  I would have to enter it somewhere in order to retrieve it. Does anyone know where it goes in Banner?

    We are also a Banner school and I am having the same struggle.  I had to create an excel spreadsheet and update it manually.  I have not been able to find the right place for this info in Banner.

    We are a Banner school . . . for recurring gifts, we create a 'pledge' for the amount with a specific pledge type of 'recurring gift' and then the installment schedule (on AGAPINS) indicates the schedule (i.e. which day of the month), and the amount.

    When your donor completes your form indicating all of this information, why can't you create a pledge for the amount, frequency, and either total commitment or number of payments?

    I think this is pretty standard.

    However, what I cannot recall is whether BA has open-ended pledge functionality.  I know some CRM have that ability for when a donor commits to a specific monthly amount, "Until further notice."  Some CRMs don't handle this, forcing you to enter a new pledge at the beginning of each fiscal year.

    Tom, how does BA accommodate these?

    Good question . . . Banner does NOT have a formal way of dealing with open ended pledge amounts

    The way we manage that is we have a different pledge type for those open ended that we call 'perpetual pledge' and we put in the pledge amount what would equal the total amount paid until the credit card expires . . . we then manage those 'perpetual pledges' with reporting as a way of stewarding those donors since the credit card is expiring anyway to see if we can increase the regular payment amount.

    We distinguish these from 'recurring pledges' (i.e. different pledge type) where the donor has a fixed total amount that's being paid over a fixed length of time.  We steward these folks as well but messaging is different knowing that the 'end' was predetermined.

    That's what I was recalling.  I think the "forever" pledges are often called "sustaining," following the public radio example.

    A zillion years ago at Duke, we created a program that would automatically create a new pledge at the beginning of the year for the next 12-months based on the "sustaining" pledge type.  It was a snazzy program, but our custom deal.  Others are doing what you describe.  However, even with the automated process, and to your stewardship point, Tom, we would contact all of our sustainers every spring to see how things were going, and maybe talk them into increasing their monthly amount!

    It's been about 7 years since i've worked with Touchet, but I believe the response is still the same.  When the initial payment is made there is an opportunity to capture that data you're referring to "programmatically" and storing it in your CRM.  There is also a specific transaction ID that is shared among all the transactions in the "recurring group of payments", so that when a payment is missed you're able to identify the pledge in your CRM.  I couldn't get my hands on the current API/REST, but someone in IT or whoever manages the integration should be able to assist you with this - if the data is still structured similarly in Touchnet as it was historically.
