    Hello all,

    Does anyone have any data privacy guidelines or policies they may be willing to share?  We're looking to update our policy, while also clarify the access to donor data that Trustees or Campaign Committee members may have.  Does anyone grant CRM access to their Board of Trustee members (even view only)?

    Hi, John.  I don't have experience or knowledge of AwardSpring.  I can tell you that JWU has been looking for a software solution for over 5-years.  My colleagues attempted Awards Management, but there wasn't much buy-in or convincing to do the awarding in the program.  Awarding at JWU is very fluid, and the existing process is cumbersome but people are comfortable with it.   This meant a number of nightly feeds, imports and exports.  During testing, we found that data was not coming in correctly leaving too much room for error.  Also, Awards Management isn't that "flexible".  It seems to work for other schools, however.

     

    We are now in the process of negotiating for Stewardship Management. This product was suggested by the project lead at Blackbaud.  I'm coming to the table late on this product, but I feel what I am expecting is very simple.  This is what I shared with Blackbaud most recently:

     

    JWU is looking for a user-friendly solution that will assist with storing real-time and historical scholarship award data as well as the current funds available for awarding. Data will be easily extracted from Blackbaud's Raiser's Edge and Financial Edge products, and imported into the potential solution. The solution will have the ability to accept an accurate data feed from the university's student database.  Finally, JWU would prefer the ability to produce accurate stewardship reports directly from the solution and have the ability to modify the report template.

    You will find several privacy and confidentiality policies in the aasp Downloads Community.

    There is no reason you cannot use the standard policy you use for all "limited access" staff members at your institutions - students, Deans, Directors, and so on.  Everyone has the same responsibility to protect the data they have limited access to.

    I also strongly recommend that anyone being granted access must go through your basic CRM training before being given a login.  And then have them sign that statement!

    And to answer your question, I often see access granted to select Board members, but it's usually for a limited term or project and certainly does not go for all trustees - just those with a demonstrated need to know.
