    Good morning,

    I am writing to get an idea of how many institutions issue a cumulative end-of-year summary of donations for tax purposes versus not doing an end-of-year summary and only using the issuance of a printed statement on each gift receipt at the time of the gift, that the receipt will serve as use for tax purposes.

    I don't have statistics to shed light on industry practices, but my anecdotal experience is that donors often ask for these statements. As a donor, I appreciate the good stewardship of an organization that provides a statement, ideally in conjunction with some brief. non-transactional communication that connects my gifft with the charitable work being done.

    At Saint Joseph's University, we only do the printed or electronic receipt at the time of the gift.

    We do get a handful of requests for and end of year summary in the new year as tax filing approaches but not enough to warrant doing it for all.

    Hi Dwight,

    We do both (but let me clarify).  Cumulative receipts are sent to all monthly recurring givers (i.e. payroll deduction) with no individual receipt issued (each month).

    Additionally, we send cumulative end of year summaries to all constituents who have contributed $25,000 or more in the calendar year.  Finally, there are some constituents who have requested yearly summaries and their record is marked accordingly as we like to be donor centric.

    We just started doing this 3-4 years ago along with a letter and a very soft (if any) ask and reply device.  It got rave reviews when we started and has been one of our better appeals in terms of response rate.  I bet it also has an impact on donor retention even for those who don't respond immediately, but we haven't looked at the data on that yet.

    UC Davis provides yearly cumulative receipts to monthly recurring donors who give via internal payroll deduct or who have specifically requested it (we code them as such).  

    For a couple of years, we provided an "annual summary of contributions" to our board of trustees and $1M+ cumulative donors, but it was super complicated - we had three sections - one was an actual legal cash contribution section, one was weird stuff like donor advised fund gifts and matching gifts, and one was a status of open pledges.  It was frankly more trouble than it was worth and we stopped it maybe 3 years ago now over the objections of exactly zero donors.

    We appear to follow the trend:  We send a cumulative receipt to all of our recurring/payroll/EFT donors, but we only create a cumulative receipt when asked for it for all other donors who gave multiple gifts sporadically throughout one calendar year.

    Last year, we sent CYE receipts to anyone who gave more than one gift and whose total gifts were more than $25. Just those two limitations made a huge dent in the number we sent out compared to the previous year.
