Solicit Code Policy/Guidelines

    Hi everyone,

    I am looking for some sample RE/NXT solicit codes policy/guidelines. Particularly looking for samples when there is a temporary solicit codes added to a record (such as Board member of a leave for a year). I looked in the Library but I wasn't able to find anything.

    We add a task action to alert us in the future when the solicit code should be remove/reevaluated. We don't have many though, it's very case by case. I can see that being more troublesome for anyone who uses temporary solicit codes often. Curious to see the other responses.

    Similar to Traci below, we use a planned action (Task/Other) of "Review Solicit Code." We have several solicit codes, one of which is "DNS-Temp" and is only applied in temporary circumstances. Our biz rule for using this solicit code is once added to the record, the "Review Solicit Code" planned action is also added to the record for the start of the next FY (or whenever is appropriate). These get assigned to me as DBA and appear in my work center at the appropriate time. I then either remove the "DNS-Temp," or work with the gift officer who suggested it to see if the timing is now right. 

    It's a little bit clunky, but better than "losing" these people due to forgetting to lift the code or applying a one-size-fits-all approach to a unique set of donors who are "DNS-Temp" for unique circumstances. Hope that helps a bit.

    Yes, I agree with both Traci and Amanda.  We use a "Temporary Solicit Hold" solicit code for our new alumni (new grads), as we do not solicit new grads during the first full year after they have graduated.  You can use an action alert to follow up to remove the code.  In our case, since this only applies to alumni, our documentation for importing new grad info includes the procedure for adding the solicit code (as well as a Solicit Code Explanation in Notes), and the procedure for removing the code every year after graduation. You can accomplish all of this with a combination of global change and import.
