    Hello-- I wasn't exactly sure how to search the archives/best practices for this. 

    Can anyone share their policies surrounding positions that are funded by your development office/foundation. We have several positions that have been funded by charitable donations but are looking to establish more concrete policies. These are not currently endowed.

    I think we need a bit more information here regarding what actions or activities you have concerns or issues with.  I am also unclear with two almost contradictory statements.  You mention that the positions are funded by the development office or foundation.  But then you say they are funded by charitable donations.  Can you give us some examples?

    While anticipating further details, it is not uncommon for external donors to provide funding for staff positions at an institution.  While it is ideal for the positions to be endowed, making them more or less permanent, annual restricted gifts work, too.  Unfortunately, that eliminates the permanency of those jobs.

    In either case, your policies should be very consistent with those for scholarships, fellowships, and endowed professorships/chairs.  The funds must be voluntarily given without any further restrictions or controls over their use - other than to fund a position.  Meaning, the donor cannot be a party to the selection/hiring of the individual filling the position.  Nor can the donor dictate the roles and responsibilities for that position.  All of that must be squarely under the dominion of the institution.

    I am not sure if this is where you were interested but it's all I've got for the moment :-).

    Thanks John! You know in my head this made sense...the positions are funded by charitable donations that pass through the foundation. They are typically annual restricted gifts and as you mention means that the positions are not permanent. In one such case there was a position that was operationally funded, was about to be eliminated and was "saved" by a large donation. Now years later that position is in danger of running out of funding and I am finding we have no policies in regard to these types of positions. The information you provided in your first post was helpful, do you have any example policies you can point me to.

    Offhand I cannot think of a specific policy that deals with this.  However, you can probably make only slight modifications to your scholarship policies to achieve your objectives.
