Chosen Name Policy

    Our university is in the process of implementing a chosen name policy for students, faculty, and staff, and we are looking into the best practices of incorporating chosen names in Advancement mail names and salutations. If anyone would be willing to share the policies for how chosen names are used in alumni records, we would greatly appreciate it. A few of the main questions we have are do you use them in the mail names that appear on mailing envelopes, do you use them for salutations, and how are the names handled that may not be appropriate? Thank you!

    Hi, Colleen.

    If the chosen name is simply a shortened or alternate version of the full name, a true nickname, or a name used in America (like Betsy for Elizabeth or Skippy for Robert, or Sally for Mei Lin) then we enter that name in the nickname field. Milton uses the nickname for our primary salutation. We continue to use the full name for the addressee, unless the constituent requests otherwise.

    If the chosen name is the result of a name change (Alexander to Alexa, for example) we change the first name on the record and that is reflected in the primary addressee and primary salutation.
